Event Privacy Notice

This notice explains how QC Design GmbH (“we”, “us”) processes personal data when you register for and take part in our online events and webinars. It supplements our general Privacy Policy, which continues to apply.

1. Registration

We use Luma (lu.ma) to manage registrations. When you register, we process the information you provide (such as your name and email address) to confirm your place, send you joining details and event information, and admit you to the event.

Registering through Luma also adds you to our QC Design events calendar on Luma, but we will only notify you about future QC Design events where you have given your explicit consent, which you can withdraw at any time. You can also unsubscribe from the calendar, or ask to be removed from it, at any time through Luma or by contacting us at info@qc.design.

2. Recording of the event

Our webinars are hosted and recorded using Google Meet. If you take part, the recording may capture:

  • your name as shown in the meeting,
  • your audio (if you speak or ask a question),
  • your video (if you turn your camera on), and
  • any messages you send in the meeting chat.

You can limit what is recorded about you: you may keep your camera off, stay muted, and refrain from posting in the chat. Speakers and panellists are recorded as part of their contribution to the event.

3. Publication on YouTube

After the event, we may publish the recording on our YouTube channel as a distinct further use. Once published, the recording is accessible to the public and may show the contributions described in Section 2. We will make clear before or during the event whether it is intended for publication.

We rely on your consent for recording the event and for publishing the recording (Art. 6(1)(a) GDPR). You give this consent when you register for and join the event.

Because we are based in Germany, the publication of a person’s image or likeness is also governed by German image rights. Under Section 22 of the German Act on the Protection of Copyright in Works of Art and Photographs (Kunsturhebergesetz, KUG), images of a person may as a rule only be published with that person’s consent. Your consent therefore covers both the data protection basis under the GDPR and the publication of your likeness under KUG Section 22.

5. Purpose

We record and, where applicable, publish events to document them, to make the content available to people who could not attend live, and to share educational and technical content about our work.

You can ask us to edit you out of a recording or to remove your contribution before or after publication, and you can withdraw your consent at any time with effect for the future. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

To make any of these requests, contact us at info@qc.design. We will edit out or remove your contribution where this is technically possible, and take down or replace a published recording where required.

If you would prefer not to appear in the recording at all, please keep your camera and microphone off and do not post in the chat, or let us know in advance.

7. Storage and retention

We keep your personal data only for as long as we need it for the purposes described in this notice, and then delete it. The following periods apply:

  • Registration data: kept for 12 months after the event, then deleted.
  • Raw recording, chat, and transcript: deleted within 90 days after the edited recording is published.
  • Published recording on YouTube: remains available on our YouTube channel until we remove it, or until you exercise your rights under Section 6.
  • Future-event opt-in data: where you have given consent to hear about our future events, we keep the related data until you unsubscribe or withdraw that consent.
  • Proof of consent: we keep a record of the consent you gave for as long as we need it to demonstrate that the consent was valid.

8. Your rights and more information

You have the rights described in the “Rights of the data subject” section of our Privacy Policy, including the rights of access, rectification, erasure, restriction, objection, and the right to lodge a complaint with a supervisory authority. That policy also contains further detail on the service providers we use (including Luma and Google) and on international data transfers.
