The Role:

We are looking for an organized, proactive Office & Team Assistant to keep our Ulm office running smoothly day to day. You’ll be the on-site go-to person for workplace organization, supplies, coordination with external partners, and small but important administrative tasks, so the team can stay focused on building.

You don’t need a scientific background—what matters is reliability, follow-through, and a hands-on mindset. There are always a few small operational projects in motion, and if you enjoy improving how things work, this role can grow over time.

This can be a part-time or full-time role, depending on your level and skills, with daily on-site presence in our Ulm office.

Key Responsibilities:

  • Office operations: Keep the office organized and well-stocked; order supplies; coordinate with facility management and service providers; ensure the office is a place where people love to work.
  • Admin support: Collect and organize receipts and invoices, follow up on missing documents, maintain basic trackers in spreadsheets, and prepare items for payment processing.
  • Team support & culture: Help organize team dinners, small internal events, and occasional retreats.
  • Onboarding & people admin support: Help new hires settle in (workspace setup, practical basics), support benefits administration, and help international colleagues feel at home in Ulm.
  • External coordination: Be the main point of contact for landlords, delivery services, and other local partners.

What we’re looking for:

  • You are reliable and consistent, and you follow through without needing reminders. You notice what needs to be done—whether it’s a missing invoice, an empty supply shelf, or a small issue in the office—and you handle it.
  • You’re organized, detail-oriented, and enjoy turning “chaos” into clear next steps.
  • You handle sensitive information with discretion, including receipts and employee-related information.
  • You are fluent in English, our company language. German is not mandatory but useful for local coordination.
  • You’re comfortable with spreadsheets (e.g., Google Sheets) or can learn fast.
